Accounts and eligibility
Forum accounts are for people aged 13 and older worldwide. Registration currently requires an invitation. The signup form is configured to require a nonpublic confirmation that you are at least 13. This is self-attestation, not independent age verification. Contact us if you believe an account belongs to someone under 13.
Information we process
We process email addresses, usernames, login information, age confirmations, preferences and optional profile details, together with posts, uploads, personal messages, chat, reports and community interactions.
The forum and supporting server also process technical and activity information, including IP addresses, requests, timestamps, browser information, visits and reading activity. We use this information to operate the community, deliver notifications, provide support, moderate content, prevent abuse, troubleshoot problems and understand community activity.
Cookies and similar browser storage support sessions, security and preferences. Disabling them may affect functionality. Discourse provides built-in traffic and engagement reporting.
Visibility and access
Public forum areas are readable without an account. Public posts and visible profile information may be copied, shared or indexed by search engines.
Participants and authorized administrators can access personal messages and restricted discussions. Moderators may see messages addressed to them or reported for review. Public uploads may be accessible to anyone with their direct link.
File uploads in chat and attachments added by users or staff to personal messages are disabled, including attachments added through edits or reused upload references. Text-only personal messages and public-topic uploads remain available. System-generated account archive downloads can still be delivered to the intended account holder. Previously uploaded files have not been removed. Existing personal-message attachments and attachments in restricted discussions may still be accessible through their direct links. Deleting a message does not necessarily remove its uploaded files immediately. Administrator viewing of personal messages is logged. Avoid sharing confidential information.
Hosting and providers
The forum runs on an operator-managed server and requires HTTPS. Gmail handles outgoing forum email and support correspondence, so Google processes relevant addresses, message content and delivery information.
We use the OpenAI-powered assistant BW_Dru for administration. Information exposed to the assistant during that work is processed by OpenAI and may include nonpublic forum information.
Retention
Chat messages are configured for deletion after 90 days, except pinned messages. Search-query logs are configured for 90-day retention. These settings do not apply to topic-style personal messages.
Local backups include uploads and are configured weekly, with a five-copy limit and removal after 35 days. Cleanup may not occur immediately, and deleted live data may remain in backups.
Fixed deletion schedules for accounts, posts, personal-message topics, support correspondence and server logs are not yet implemented. These records may remain stored until separately removed.
Your choices
Manage available profile and notification settings through your account preferences. Email graytcompany@gmail.com to request access, correction, deletion or information about your data. Account removal or anonymization does not necessarily remove posts, quotations or copies held by others.
